Controlled document management on SharePoint Online and Microsoft 365

Ulysses adds a controlled-document process to the SharePoint Online and Microsoft 365 environment your organisation already uses.

Ulysses runs on SharePoint Online and Microsoft 365. It does not replace them. It adds a controlled-document process to the platform your organisation already uses, so people can find the current policy or procedure, reviews and approvals have a clear route, and review dates are visible.

What a controlled document process needs beyond storage

SharePoint document libraries are good at storing files, keeping version history and controlling who can open them. A controlled document process asks for more:

  • a named owner for every document;
  • a clear route from draft to approved, with the right people approving;
  • a published version that people can trust, kept apart from working drafts;
  • a managed way to replace or withdraw documents that have changed;
  • visibility of what is due for review.

Ulysses is built to provide that process on SharePoint Online.

How Ulysses fits with SharePoint Online and Microsoft 365

Ulysses needs a Microsoft 365 environment with SharePoint Online. We confirm the configuration for your tenant during solution scoping, along with your document types, numbering and owners.

Ulysses is made by Monarch360 in Perth, Western Australia. Monarch360 also provides Microsoft SharePoint, Power Platform and Dynamics 365 services. Support for Ulysses is uncapped.

What Ulysses adds

  • One search across three areas. Search Publish, Native and Archive from the home page, with quick links to Policies, Procedures and My Group Documents.
  • A controlled start. Create documents from a searchable template library, with document type, number, risk rating, requestor, reviewers and approvers recorded.
  • Review and approval routes. Request a review or approval from the actions menu, then choose independent approval or in-order approval.
  • Improvement tasks. Turn feedback into assigned tasks with an owner, a due date and a status.
  • Lifecycle actions. Publish deliberately, supersede or make obsolete, and keep history in the Archive.
  • Reporting. See expired documents and those expiring within three months, approval status and pending approvals, with a register you can filter, search and export.

The features page shows each of these in the real product, using demonstration data.

Questions, answered.

Does Ulysses run on SharePoint Online?

Yes. Ulysses runs on SharePoint Online and Microsoft 365, so it needs a Microsoft 365 environment with SharePoint Online. We confirm the configuration for your tenant during solution scoping.

Does Ulysses replace SharePoint?

No. Ulysses runs on SharePoint Online and Microsoft 365 and adds a controlled-document process to them.

How is Ulysses different from SharePoint document libraries on their own?

A library stores documents and tracks versions. Ulysses adds search across Publish, Native and Archive, creation from templates with control details, review and approval routes, improvement tasks, supersede and obsolete actions, and a Report Dashboard with a register of review dates. The best test is a real procedure, so we suggest comparing both in a demonstration.

No. Both are made by Monarch360 and built for SharePoint and Microsoft 365. Ulysses focuses on controlled documents, while Monarch EDRMS is Monarch360’s electronic document and records management system. Their capabilities differ, and we confirm which fits your needs during scoping.
