Ulysses FAQ

Questions and answers

Direct answers to the questions people ask before choosing a controlled document management system.

About Ulysses

What is Ulysses?

Ulysses is a controlled document management system from Monarch360. It brings document search, review and approval requests, improvement tasks, lifecycle actions and reporting into one connected workspace.

It is designed so everyday readers can find the current policy or procedure, and document owners can see what needs their attention. See the full list of features.

What does CDMS stand for?

CDMS stands for controlled document management system. Monarch360 describes Ulysses as its controlled document management system, which is why the website address is ulyssescdms.com.au.

Who is Ulysses for?

Ulysses is for organisations that need to keep policies, procedures and forms current and approved. That includes quality and operations teams, document owners, authors, approvers and the everyday readers who rely on the latest version.

What problems does Ulysses solve?

Ulysses helps when people cannot tell which version of a document is current, when approvals stall in inboxes, and when review dates pass unnoticed.

It gives documents a clear owner, a visible review and approval route, assigned improvement tasks and a dashboard of expired and upcoming reviews.

Who makes Ulysses?

Ulysses is a product of Monarch360 Pty Ltd, based in Perth, Western Australia. Monarch360 also makes Monarch EDRMS for records management and Apollo for meeting management. Ulysses is a separate product with its own capabilities. More about Monarch360.

How it works

How do people find documents in Ulysses?

People search the Publish, Native and Archive areas from one search box on the Ulysses home page. Quick links go straight to Policies, Procedures and My Group Documents.

What are Publish, Native and Archive?

They are the three document areas in Ulysses. Publish holds released documents, Native is the working library where reviews and approvals are requested, and Archive holds historical content.

How do reviews and approvals work?

Reviews and approvals are requested from the document actions menu. The requester chooses approvers, adds comments and selects either independent approval, where all approvers are notified at the same time, or in-order approval, where they respond one after another.

The Approval Dashboard and My Approvals show each approver what is waiting for them.

Can Ulysses assign work to improve a document?

Yes. The Assign Task action creates an improvement task linked to a document, with an assignee, the person who assigned it, a due date and a status of overdue, pending, in progress or not started.

How does Ulysses help with document review dates?

The Report Dashboard shows documents that are overdue or expired and documents about to expire within three months. Its register lists each document's published date and next review date, with Expired and Upcoming Review views that can be filtered, searched and exported.

What is the difference between obsolete, superseded and archived?

An obsolete document has been withdrawn from use, a superseded document has been replaced by another approved document or revision, and archived describes where historical content is kept. Ulysses provides obsolete and supersede actions and a dedicated Archive area.

Compliance and fit

Does Ulysses make us ISO 9001 compliant?

No software establishes compliance or certification on its own. Ulysses supports ISO 9001 document control practices through review and approval workflows, document identification, ownership, review-date visibility and lifecycle actions.

Effective compliance depends on your procedures, configuration and evidence. Read how Ulysses supports ISO 9001 document control.

Which industries need controlled document management?

Any organisation whose staff must work from current, approved documents can benefit, particularly in regulated and document-intensive industries.

Monarch360 has published guidance on controlled document management for mining, oil and gas, construction and aged care.

Does Ulysses work with Microsoft 365 and SharePoint?

Yes. Ulysses runs on SharePoint Online and Microsoft 365, so it needs a Microsoft 365 environment with SharePoint Online. We confirm the configuration for your organisation during solution scoping.
